POSITION SUMMARY The College Registrar is responsible for organizing and supervising all activities related to student academic records and registration. The Registrar ensures the integrity, accuracy, and security of all academic records of current and former students; facilitates effective student registration and enrollment; maintains up-to-date course schedules, catalogs, and final examination schedules; manages efficient use of classrooms; and collaborates with IT and IR to build secure student data files, policies and procedures for responsible use of data. Registrar collaborates with most offices on campus in order to deliver a consistently excellent constituent experience. Essential Functions Statement(s) Oversees all aspects of the registrar function, including: Maintains permanent student academic records following AACRAO guidelines Manages processes for registration, course scheduling, classroom assignments, and grade reporting in accordance with academic policies. Supervises the processes for the articulation of transfer credits, services for Veterans, graduation applications, certification of baccalaureate and graduate degrees, enrollment and degree verification, production of official transcripts, and diplomas. Counsels and advises faculty, staff and students on academic matters; and upholds academic policies and regulations. Assists in educating faculty, staff and students on issues of FERPA compliance involving student academic records. Maintains and upgrades the college's academic information infrastructures including academic records archives, on-line student database, undergraduate and graduate bulletins, creation and management of academic program information within Colleague, Registrar webpage and information systems. Develops and manages annual budgets for the Registrar office and performs periodic cost and productivity analyses. Writes and runs data reports to support Academic Affairs, curricular projections, student academic status and enrollment management needs. Works as part of the Academic Affairs Team to broadly support ongoing work throughout the year (ex: developing and carrying out academic policies and procedures, developing the academic calendar, assisting with commencement exercises) Guides and mentors an office team committed to accuracy, efficiency, and student-centered service. Collaborates with neighboring institutions to facilitate cross-registration processes and facilitates processes related to consortial agreements for course enrollment at other institutions of higher education. Stays current on curriculum management within Colleague. Serves on College committees as appointed (ex: Academic Council, Graduate Council, Curriculum Committee). Acts as primary contact for National Student Clearinghouse (NSC). Supports the mission and vision of the College and respects the College's Catholic tradition. Performs related duties as assigned. Technical Aptitude - Ability to comprehend complex technical topics and specialized information. Training - Ability to develop a particular skill in others to bring them up to a predetermined standard of work performance. Working Under Pressure - Ability to complete assigned tasks under stressful situations. Education: Bachelor's degree from an accredited college or university in any field. Master's in related field preferred. Experience: Minimum of three years of experience within higher education. Prefer experience as a registrar, associate registrar or in a position with similar responsibilities in the area of student academic services. APPLICATION PROCEDURE.
