MIAMI COUNTY AGRICULTURAL SOCIETY Administrative Assistant This position is employed directly by the Miami County Agricultural Society and is being shared as a courtesy on the Board of Miami County Commissioners' page. FLSA Status: Non-Exempt Compensation : $18 - $20/hour Benefits: This position earns 40 hours of paid vacation time after the first year. Not to be taken one week before the Food Truck Rally in May or during the month of August. Schedule: This position is expected to work 35 – 40 hours per week, with overtime as needed around events. The Administrative Assistant must be present during regular office hours but can be flexible with the remaining hours each week. Office hours vary by season: Days Open Times Open May Tuesday, Wednesday, Thursday 11:00 am – 6:00 pm June, July, August Monday through Friday 9:00 am – 5:00 pm Fair Week August 7 – 15, 2024 8.00 am – 8.00 pm September Tuesday, Wednesday, Thursday 11:00 am – 6:00 pm October – April Wednesday & Thursday 11.00 am – 6.00 pm GENERAL STATEMENT OF DUTIES : Under the general supervision of the Personnel Committee, this position performs a variety of complex administrative and financial duties in support of the Miami County Agricultural Society’s Fair Board. SUPERVISION RECEIVED : Utilizes considerable independent judgment and initiative under the supervision of the Personnel Committee. JOB DUTIES: Receives and screens visitors, telephone calls, and mail requiring the use of judgment to route complaints and inquiries appropriately. Maintain inventory for office and fair, including the purchase of items in line with all fiscal procedures. Prepare monthly reports for presentation of Board Meetings by the Board Secretary Assist Sponsorship Committee with sponsorship and grant activities. Attend staff meetings, board and committee meetings, conferences or other events, as needed. Maintain a clean, professional, and organized office . Assist the Fair Board with event planning and coordination. Assist the Personnel Committee in coordinating the employment and time schedules for office support staff and other seasonal employees. Manage, schedule, assign space, and account for fees and contracts for non-fair camping. Maintain office equipment by completing preventive maintenance, troubleshooting failures, calling for repairs, and monitoring equipment operation. Assist with marketing items, including social media and website updates Work closely with the Board Treasurer and CPA on accounts payable and receivable activities, bank deposits, monthly and annual financial reports, cash flow and bank account monitoring, audits, and tax reports and forms. Meets all job safety requirements and all applicable OSHA safety standards that pertain to essential functions. Demonstrates regular, predictable, and punctual attendance. The noise level in the work environment is typical of that of an office. Employee may encounter frequent interruptions throughout the workday. This position will have standard office hours, but will also be required to work overtime as needed in evenings and on weekends. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is regularly required to sit, stand, walk, stoop, kneel, crouch, bend, use hands to finger, handle, or feel, and reach with hands and arms. The employee will have to lift up to 30 pounds regularly and up to 50 pounds occasionally. The employee will be required to speak and hear at levels loud enough for the general public. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Work is performed both in fairground buildings and on related grounds. The position is impacted by urgent time deadlines and uncontrollable interruptions and distractions to meet the public's needs. Contact with the public in event center environments may risk exposure to irrational/hostile behavior, contagious diseases, or contact with domestic animals. This position will be exposed to allergens typical for fairgrounds, including various domesticated animals and livestock, hay, pollen, etc. The employee will earn 40 hours of paid vacation time after the first year. Not to be taken one week before the Food Truck Rally in May or during the month of August. Any unpaid time off will be reviewed on a case by case basis. Earned vacation time will not be paid if employment is terminated by either the employee or MCAS.
